
Proposals for Sponsored and Special Sessions are made on the Session Proposal Form, which is available on the Congress Web site beginning in February.
Proposals for Sponsored and Special Sessions—including sessions of papers, panel discussions, roundtables, poster sessions, workshops, and performances—are due on May 15 for the following year’s Congress. The Congress Committee considers the proposals in June, and would-be session organizers are informed of the Committee’s acceptance or rejection of sessions by post in July.
The Session Proposal Form for the 45th International Congress on Medieval Studies (May 13-16, 2009) will be available in February. The Medieval Institute does not accept session proposals by e-mail.
A paper proposal comprises an abstract of no more than 300 words and a completed Participant Information Form, which is available on the Congress Web site beginning in July.
The Call for Papers for the following year's Congress, which lists the Sponsored and Special Sessions approved by the Congress Committee, is available on the Congress Web site in July. You may send a paper proposal to the contact person listed in the Call for Papers for a Sponsored or Special Session OR submit a proposal directly to the Congress Committee to be considered for inclusion in a General Session. Sponsored and Special Sessions may be closing or closed at any point along the timeline to the September 15 deadline for paper proposals. The person proposing a paper who waits until the last minute may be very disappointed. Organizers of Sponsored and Special Sessions are obliged to forward proposals that are not selected to the Congress Committee, so that the papers can be considered for General Sessions.

Learned societies, associations, and institutions may hold business meetings or host receptions at the Congress. Space is reserved by submitting the Meeting/Reception Reservation Form by October 1, which is available at the Congress Web site in July.

The Congress Committee at the Medieval Institute gratefully accepts offers to preside over General Sessions made on the Offer to Preside Form (deadline: October 1). You need not be delivering a paper at the Congress in order to preside over a General Session.

Complete paperwork for a session comprises a signed Organizer Contract, a Session Organizer Form, and Participant Information Forms for all organizers, presiders, paper presenters, panelists, discussants, and respondents (deadline: October 1).
