1 of 3: STEM Peer Mentor

Major Duties and Responsibilities

  • Provide peer mentorship, academic review, tutoring, and referral services to students in a group and/or individual setting.
  • Meet with assigned students on a regular (usually weekly) basis and maintain student activity logs.
  • Assist students in schedule building and the development of the Individualized Success Plan (ISP); facilitate the development of study skills and time management techniques in students; and encourage student participation in the STEM Reward Program.
  • Participate consistently in appropriate follow-up, documentation, and evaluation activities, including, but not limited to, checking and responding to WMU email every other day, maintaining Webmail Plus calendar, keeping track of student reward points, as well as logging in to and updating the STEM Student Database after each meeting with students.
  • Participate actively in the STEM Forum online every other day including, but not limited to, contributing to all staff discussions, completing assigned tasks by stated deadlines, replying to student queries, and monitoring student posts to ensure that forum rules are not violated.
  • Commit to STEM for at least one academic year; plan accordingly and be available to assist students throughout the week including during non-traditional work hours as well as during and through mid-term and final exam weeks.
  • Maintain frequent and regular contact with STEM staff and participants, providing appropriate responses and follow-ups as needed.
  • Attend all other scheduled activities, events, staff meetings, and/or meetings related to the program; provide reasonable excuse and documentation to STEM Director if unable to attend any activity, event, and/or meeting.
  • Assist in planning, organizing, and publicizing STEM events, offering appropriate feedback and suggestions in a timely manner.
  • Undergo periodic performance review, which includes, but is not limited to, meeting bi-weekly with the STEM Director on a recurring basis or as needed with the STEM Program Assistants and STEM Training and Advising Committee (TAC) to go over completed Peer Mentor Performance Evaluation Form and/or to develop a Performance Improvement Plan, and taking the STEM peer mentor exam.

General Requirements

  • Have a cumulative WMU GPA of 3.5 or better
    OR
    a cumulative WMU GPA of 3.0 or better AND at least a BA in the classes for which tutoring will be provided.
  • Enrolled as a junior, senior, or graduate student at WMU. Qualified sophomore applicants will be considered on a case-by-case basis.
  • Have completed at least one semester at WMU or be able to provide a WMU Transfer Credit Evaluation report.
  • Able to commit an average of 10 hours per week for at least one academic year.
  • Able to provide tutoring and have demonstrated academic proficiency in selected subject area(s).
  • Proficient in spoken and written English.
  • Awarded work-study (preferred).

2 of 3: STEM Program Assistant (Work-Study Preferred)

Major Duties and Responsibilities

  • Assist the STEM Director with grant implementation, staff supervision and training, budgeting, publicity and public relations, writing, research, presentations, and new project developments.
  • Maintain online student database to ensure that information is accurate and current; review student activity logs and peer mentor log-in reports on a weekly basis to ensure that peer mentors are updating them on a regular basis and make appropriate recommendations to the STEM Director.
  • Maintain internal payroll records by collecting and reviewing student employee time sheets for accuracy and completeness, recording hours worked and coordinating pay rates, as well as submitting time sheets to department’s timekeeper before the deadline.
  • Develop and coordinate various academic workshops for participants by recruiting presenters, making room reservations, and publicizing events to participants.
  • Assist with general office functions including, but not limited to, answering telephones, filing, photocopying, and data entry.
  • May assist with other duties as assigned.

Minimum Requirements

  • Awarded work-study.
  • Have a cumulative GPA of 2.5 or better.
  • Must have attained sophomore status.
  • Have completed at least one semester at WMU or be able to provide a WMU Transfer Credit Evaluation report.
  • Able to work with diverse populations.
  • Demonstrated interest in and commitment to helping students succeed academically, socially, emotionally, and professionally.
  • Familiarity with current versions of Microsoft Word, Excel, PowerPoint, Access, and Publisher, as well as Photoshop (or similar applications) required.

Preferred/Desired Qualifications

  • Experience working with grant-funded programs.
  • Supervisory experience.

3 of 3: STEM Budget Analyst

Major Duties and Responsibilities

  • Assist the director with grant implementation, staff supervision and training, budgeting, publicity and public relations, writing, research, presentations, and new project developments.
  • Prepare and analyze various financial status or related reports, statistics, and projections:
    • Submit budget reports weekly to director and monthly to department’s administrative assistant.
    • Assist with the preparation and submission of annual reports to funding agency.
  • Monitor fund balances and payroll information and analyze accounts daily to accurately track appropriations, expenses, and/or revenues:
    • Compare submitted hours worked by employees with pay earnings reports to ensure consistency.
    • Monitor GLOW (General Ledger Online Web) transactions and correlate information with current and past budgets.
    • Coordinate budget corrections and revisions as necessary to ensure adequate funds for program coverage according to spending priorities.
  • Provide financial advice to director for proper program planning and effective decision-making.
  • Participate in staff meetings and provide relevant financial updates.
  • Assist with general office functions including, but not limited to, answering telephones, filing, photocopying, and data entry.
  • Assist the director and program assistants with other duties as assigned.

Minimum Requirements

  • Knowledge of accounting and budgetary procedures.
  • Familiarity with current versions of Microsoft Word, Excel, PowerPoint, Access, and Publisher, as well as Photoshop (or similar applications).
  • Able to work independently with minimal supervision.
  • Able to work with diverse populations.
  • Have a cumulative GPA of 3.0 or better.
  • Must have attained junior status.
  • Possess and portray excellent communication, leadership, organization, and multi-tasking skills.
  • Must be detail-oriented, flexible, dependable, and able to perform well under pressure.

Preferred/Desired Qualifications

  • Majoring in accounting, finance, economics, business, public administration, and/or related/relevant academic discipline.
  • Experience working with grant-funded programs.
