I - 9 form
One very important step in finalizing the hiring of a new employee is completion of an I-9
form. The United States Department of Justice, Immigration and Naturalization Service requires
the completion of the I-9 within three days of the date employment begins. The purpose is to
verify an employee's identity and eligibility to work in the United States.
Please keep the following in mind:
- You must examine evidence of identity and employment eligibility within three days of employment.
- The new employee completes and signs Section 1 (top portion).
- WMU representative (hiring agent/supervisor) completes and signs Section 2 (the bottom portion).
- Record the date the I-9 is completed on the employee's Appointment Form.
- Retain the completed I-9 in your department. Do not send the completed form to Human Resources.
- The completed I-9 form must be retained for one (1) year after the date employment ends,
or for three (3) years after the date of hire, whichever is later.
Special instructions:
- Form I-766 (Employment Authorization Document), although not listed on the 11/21/91 version
of the Form I-9, is an acceptable List A document #10.
- Form I-151 is no longer an acceptable List A document #5. However, Form I-551 remains an
acceptable List A document #5.
- The following documents have been removed from the list of acceptable identity and work
authorization documents: Certificate of U.S. Citizenship (List A #2), Certificate of Naturalization
(List A #3), Unexpired Reentry Permit (List A #8), and Unexpired Refugee Travel Document (List
A #9).
