Form I-9

One very important step in finalizing the hiring of a new employee is completion of a Form I-9. U.S. Citizenship and Immigration Services requires Section 1 of the I-9 to be completed on or before the first day of employment. Section 2 of the form must be completed no later than the third day after employment begins. The purpose of Form I-9 is to verify an employee's identity and eligibility to work in the United States.

Federal rule changes as of April 3, 2009

  • All documents used as evidence of identity and employment eligibility must be current. You may no longer use expired documents.
  • The list of acceptable documents has changed. Please see the instructions below for updated lists.
  • Form I-9 has been updated. You must use the version with a revision date of 02/02/2009 or 08/07/2009.

Please keep the following in mind:

  • You must examine evidence of identity and employment eligibility within three days of employment.
  • The new employee completes, signs, and dates Section 1 (top portion).
  • WMU representative (hiring agent/supervisor) completes and signs Section 2 (the bottom portion).
  • Record the date the I-9 is completed on the employee's Appointment Form.
  • Please attach to the I-9 form photo copies of documents used as evidence, then deliver or postal mail form and attachments to Human Resources.
  • All completed I-9 forms are retained in Human Resources.
