Objectives of the Site Visit
- To provide assistance and support to both the intern and collaborator
- To help solve problems (e.g., to make sure that both the intern and collaborator understand the intern's work in the same way)
- To cross-check the involvement of intern and collaborator with the established work plan
- To identify key aspects of the work or materials that can be used to assist other evaluators
An Example Site Visit Protocol
While these meetings tend to be informal, there should be an agenda. This is one example. The mentor should send the agenda to both the intern and the collaborator before the site visit. If there are items either of them would like to add, they should let the mentor know ahead of time. Both the intern and collaborator should review his or her responsibilities in regard to the work of the intern to ensure that they are understood and acceptable. The intern should review the work plan to verify that all specific tasks or products assigned to him or her for the site visit have been completed.
- Review the work plan
- To be sure everyone is on target
- To make suggestions
- To add information
- To make it more specific
- Review work products
- Analyze pending plans and strategies
- Discuss other questions/concerns (beyond the internship) that the project staff may have
